Acceptance of Terms

By enquiring about, booking or using any journey, small group tour, corporate travel programme or experience offered by Rove Look ("Rove Look", "we", "us", "our"), you agree to be bound by these Terms & Conditions, together with the Privacy Policy and Cancellation Policy set out below. If you do not agree with any part of these terms, please do not proceed with a booking.

Bookings & Payments

• A booking is confirmed only once we receive the applicable deposit or full payment and issue written confirmation.
• Prices quoted are per the itinerary, group size and travel dates agreed at the time of booking and may change if these details are altered.
• Full and final payment must be received before the balance-payment deadline communicated at the time of booking; unpaid balances may result in cancellation of the booking.
• All payments are processed in Indian Rupees (INR) unless otherwise agreed in writing.

Itinerary Changes

• We design itineraries in good faith based on information available at the time of booking. Hotel availability, transport schedules, permits, weather and local conditions may require us to modify routes, accommodation or activities.
• Where a change materially affects your journey, we will inform you as soon as reasonably possible and offer a suitable alternative wherever available.
• Rove Look is not liable for delays, changes or cancellations caused by circumstances outside our reasonable control (see Force Majeure below).

Traveller Responsibilities

• You are responsible for ensuring that you and all travellers on your booking hold valid travel documents, visas, permits and any vaccinations required for the itinerary.
• You must disclose any medical conditions, dietary requirements or accessibility needs at the time of booking so we can make appropriate arrangements.
• Travellers are expected to behave responsibly and respectfully towards fellow travellers, guides, hosts and local communities throughout the journey.
• Rove Look reserves the right to remove a traveller from a trip, without refund, if their conduct endangers themselves, other travellers or Rove Look staff and partners.

Travel Insurance

We strongly recommend that all travellers purchase comprehensive travel insurance covering medical emergencies, trip cancellation, baggage loss and evacuation before departure. Rove Look does not provide travel insurance and is not responsible for losses that adequate insurance would have covered.

Liability

• Rove Look acts as an agent in arranging services provided by third parties, including hotels, transport operators, guides and activity providers. While we carefully select our partners, we are not liable for their acts, omissions, or the quality of services they independently provide.
• Our liability, where it does arise from our own acts or omissions, is limited to the value of the booking concerned and does not extend to indirect or consequential loss.
• Nothing in these terms limits liability that cannot be excluded under applicable law.

Force Majeure

We are not liable for failure to perform our obligations where such failure results from circumstances beyond our reasonable control, including natural disasters, extreme weather, government travel restrictions, strikes, political unrest, pandemics or infrastructure failures. In such cases, we will work with you and our partners to reschedule or adjust your journey wherever possible.

Pricing & Inclusions

Package prices include only the services explicitly listed in your itinerary or confirmation. Items such as flights, visas, travel insurance, personal expenses, tips and any services outside the stated itinerary are excluded unless specified.

Cancellations & Refunds

Cancellations, date changes and refunds are governed by the Cancellation Policy set out below, which forms part of these Terms & Conditions.

Intellectual Property

All content on the Rove Look website — including text, images, itineraries and branding — is owned by or licensed to Rove Look and may not be copied, reproduced or used commercially without our written consent.

Website Use

You agree to use the Rove Look website only for lawful purposes and not to misuse it in any way that could damage, disable or impair the site or interfere with other users' access to it.

Governing Law & Jurisdiction

These Terms & Conditions are governed by the laws of India, and any disputes arising from them shall be subject to the exclusive jurisdiction of the courts of New Delhi, India.

Amendments

We may update these Terms & Conditions from time to time to reflect changes in our services or legal requirements. The "last updated" date above indicates when it was last revised. Continued use of our services after changes are posted constitutes acceptance of the revised terms.

Overview

We understand that plans can change. This policy explains how cancellations, date changes and refunds are handled for private journeys, small group tours, corporate travel and experiences booked with Rove Look. Specific terms for your trip will also be shared at the time of booking, since some hotels, permits and transport providers apply their own cancellation rules.

Cancellation Charges

For most bookings, cancellation charges (as a percentage of the total trip cost) apply based on how far in advance you notify us before your journey's start date:

• 30+ days before departure — 10% of total booking value
• 15–29 days before departure — 25% of total booking value
• 7–14 days before departure — 50% of total booking value
• 0–6 days before departure or no-show — 100% of total booking value

Bookings that include non-refundable components — such as certain flights, permits, peak-season hotels or fixed-departure small group tours — may carry additional charges specified at the time of booking.

Date Changes & Modifications

• Requests to change travel dates, itinerary or group size should be made in writing (email or WhatsApp) as early as possible
• Date changes are subject to availability with our hotel and transport partners and may incur a rescheduling fee
• Changes made within 7 days of departure are generally treated as a cancellation and rebooking, and standard cancellation charges may apply

Refund Process

• Refund requests are reviewed against the applicable cancellation charge for your booking
• Approved refunds are processed back to the original payment method within 7–14 business days
• Any payment gateway or bank charges deducted at the time of the original transaction are non-refundable

Force Majeure

In the event of circumstances beyond our reasonable control — including natural disasters, extreme weather, government travel restrictions, strikes or political unrest — we will work with our partners to reschedule your journey or minimize charges wherever possible, though standard cancellation terms may still apply where costs have already been committed to hotels, transport or permit authorities.

No-Show Policy

If you do not arrive for a confirmed journey, activity or check-in without prior notice, the booking is treated as a same-day cancellation and no refund will be issued.

Group & Corporate Bookings

Small group tours, corporate travel and event bookings may carry separate cancellation terms — including deposits, minimum group size clauses and vendor-specific policies — which will be shared and agreed upon at the time of booking.

How to Cancel or Modify a Booking

To cancel or modify a confirmed booking, contact your Rove Look travel designer directly, or write to us at hello@rovelook.com with your booking reference and requested change. We will confirm the applicable charges, if any, before processing your request.
